A calm group of students walking together along a clear path, a bilingual guide leading the way

Safety & operations

Trust comes first.

Safety is the foundation of every journey we run. For schools and parents, our safeguarding standards, supervision and emergency procedures are designed in from the very first plan.

Every programme is developed and delivered together by our New Zealand and China teams, so standards stay consistent and quality stays reliable, from the first briefing to the journey home.

A whole-journey safeguarding framework

Risk managed, end to end.

  1. 01

Pre-trip risk assessment and written contingency plans for transport, health, weather and venue changes.

  2. 02

Clear supervision ratios, a mandatory buddy system, and daily headcounts at departure, arrival and before bed.

  3. 03

Vetted accommodation and meal standards, with allergy and medical notes tracked and shared with staff.

  4. 04

24/7 on-ground support and a clear escalation pathway: team lead, to country manager, to emergency services.

  5. 05

Travel and medical insurance verified, with rapid access to clinic and hospital care when needed.

  6. 06

Daily parent updates with photos and brief notes, and prompt incident reporting within agreed timelines.

The team around every group

Clear roles, clear responsibility.

Programme leader and bilingual lead

Overall duty of care and on-ground decision-making, coordinating between the New Zealand school, Chinese partners and local suppliers. Leads daily briefings, headcounts and any incident response.

Accompanying teachers

Day-to-day student supervision and pastoral care, buddy and room checks, curfew, wellbeing monitoring, and support for learning, reflection and cultural engagement.

Local coordinator and guide

Local logistics across transport, venues and timetable, on-site communication with providers, and help with crowd management and route guidance during activities.

Remote emergency support

Off-site coordination and escalation, master records of medical and emergency contacts, liaison with hospitals, insurers and consulates, and 24/7 backup to the on-ground team.

On the ground

Safety tuned to each setting.

Students stay with the group at all times unless staff approve otherwise. A buddy system runs throughout, with curfews and room checks every evening, shared between the programme leader and accompanying teachers.

  • Shanghai Crowd management with designated meeting points, strict road-crossing rules, and clear river-cruise safety.
  • Hefei Host-school safeguarding rules followed, staff on-site and reachable, and full compliance on company and tech visits.
  • High-speed rail Fixed seating plans, headcounts before boarding and after alighting, and platform-line discipline.
  • Huangshan Proper footwear and pace control, marked paths and railings, and route adjustments for weather.
  • Huizhou villages Careful footing on stone steps, supervised cooking and farm activities, and a compact group at night events.

If something happens

A calm, ordered response.

In any emergency we prioritise, in order: safety, medical care, notification, and documentation.

  1. 1

    Safety

Stop the activity, secure the area, and account for every student immediately.

  2. 2

    Medical care

Provide first aid within competency and call local emergency services if required, one staff member staying with the student.

  3. 3

    Notification

Notify the programme leader, then inform parents and guardians with confirmed facts only.

  4. 4

    Documentation

Record time, location, witnesses, actions taken and outcomes in the incident log.
